Guidelines for the use of paper products - Annual Conference 2010

In keeping with the NIC commitment to reduce our negative impact on our environment, and based on the suggestions from the survey taken at the 2009 Session of the NIC, the Annual Conference Committee has adopted the following guidelines:
1. Ushers are the only persons authorized to distribute information in paper form (or any other media) to the “desks” (seating area for members and others seated on the floor of the Conference) or other locations within the bar of the Conference.
2. Papers to be passed out to desks should relate directly to Annual Conference business. Examples would include: resolutions, late documents, agenda, liturgy for worship, ballots. The Conference Secretary (Lora Zink) and Chair of Plenary Ushers (Char Hoffmann), in consultation with the Bishop, will determine the appropriateness of requests.
3. Brochures, flyers, and other info pertaining to events at Annual Conference or following Annual Conference will NOT be distributed to desks. These may be submitted so that they may be available on the NIC website and, possibly, also on the screen in Mega Center. Please consult the Director of Communications (Matt Kuzma).
4. Brochures, flyers, pamphlets, pencils, magnets, balloons, bubbles, ribbons, and the like pertaining to groups should be located at the group’s booth. If the group doesn’t have a booth, there will be a table located in the room for these items. Space will be limited. Groups are responsible for collecting the left-overs before noon on the closing day of Conference.
5. Forms (Nominations, surveys, commitments [anti-gambling], other) will NOT be distributed to desks at Annual Conference. There will be a table provided for this or people may pick them up from the appropriate committee representatives or the ushers. Exceptions may be requested from the Conference Secretary prior to Annual Conference.
6. Speeches, sermons, and presentations will NOT be printed for distribution at Annual Conference. Presenters may make them available on-line, if desired. Please submit items in Microsoft Word or email to communications@umcnic.org.
7. Campaign materials, information which supports a particular side of an issue, or similar material may NOT be distributed within the Mega Center. However, it may be located for pick-up in the sponsoring group’s booth.
8. The NIC is committed to respecting the dignity and celebrating the diversity of all gathered in Christ’s name. Please be sensitive to our sisters and brothers. If you have any questions pertaining to the appropriateness of your material or its distribution, please contact Lora Zink prior to the Annual Conference.
